Extensions

Course Extensions

If you require a short amount of additional time (for example, a couple of weeks), please contact us before your course end date. In many cases, a short extension can be arranged without a fee.

If you require a longer extension, a formal request and extension fee will apply.

Extensions may be considered where a student is unable to complete their course within the allocated timeframe and has been actively engaged in their course or can provide a valid and reasonable explanation for non-completion.

Extensions are not intended for students who have had little or no participation in their course over an extended period without a valid reason.

Extension Requirements

  • Requests must be submitted in writing prior to the course end date
  • Students must demonstrate ongoing engagement in their course or provide a valid and reasonable explanation for non-completion
  • Students must be up to date with all course fee payments at the time of the request
  • Extensions are generally limited to one. Additional extensions will only be considered in exceptional circumstances

Extension Fees

  • Short Courses – $50
  • Certificate and Diploma Courses – $150

Extension Process

To apply for an extension, please complete the application form here.

If your extension request is approved:

  • You will be issued an invoice via email for the applicable extension fee
  • Payment must be made within 5 business days of the invoice being issued

The extension will only be activated once payment has been received.

Extension Conditions

Approved extensions will include a revised end date and may include specific conditions to support course completion. These may include:

  • Agreed timeframes for completing outstanding units (e.g. one unit per month)
  • Regular check-ins with your trainer
  • Progress milestones that must be met to maintain your enrolment

Failure to meet agreed conditions may result in the extension being withdrawn.

Deferral of studies

What is a Deferral?

A deferral is a temporary pause of your course enrolment.

Deferrals are considered on an individual basis and are intended for students experiencing significant or unexpected circumstances that impact their ability to continue studying, such as serious illness, injury, or bereavement.

If you are unable to continue your studies due to these types of circumstances but do not wish to withdraw from your course, you may apply to defer your enrolment to a later date.

Deferrals are not automatically approved and require a formal request.

Deferral Process

If you need to pause your studies, you can apply for a deferral.

How to Apply

  • Submit your request in writing via email to info@medtrain.com.au

  • Include details of your situation and any supporting documentation for compassionate or compelling circumstances

  • Advise the length of time you are requesting for your deferral

How Your Request Is Reviewed

Your request will be reviewed based on:

  • The information and supporting documentation you provide

  • How your circumstances are affecting your ability to continue your studies

  • The length of time requested for the deferral

You will be notified of the outcome via email within 5 business days. If you are not satisfied with the outcome, you may access the MAT Complaints and Appeals process.

Deferral Conditions

  • One deferral is provided at no cost, any subsequent deferrals may incur a fee. View the additional charges schedule here.

  • Deferral periods are agreed based on your individual circumstances

Please note:

  • Deferring your enrolment does not entitle you to a refund of course fees

  • If your course is updated or superseded during your deferral, you may be required to complete additional units and pay any associated fees, including a course transfer fee.

Payment Arrangements During Deferral

Deferring your enrolment does not automatically pause your payment plan or outstanding fees.

If you are on a payment plan, you are still responsible for meeting your agreed payment obligations unless an alternative arrangement has been approved.

If your circumstances have changed, you may contact us to discuss your payment options at the time of your deferral request.

Records

All deferral requests and supporting documentation are securely stored in our Student Management System.

We recommend keeping copies of any documents you submit for your own records.

Course Withdrawal

Students may withdraw from their course at any time if they are unable to continue their studies.

How to Withdraw

To withdraw from your course, you must complete the MAT Withdrawal Form and email it to info@medtrain.com.au.

Important Information

  • Withdrawal does not automatically cancel any payment plan or outstanding fees

  • Any applicable refunds or outstanding fees will be assessed in line with our Refund Policy

  • Government-funded students may have additional requirements under their funding program

After You Withdraw

  • Your enrolment will be finalised once your withdrawal request has been processed

  • You may apply to re-enrol at a later date; however, approval is not guaranteed
